What warm-up tools actually do
Strip away the marketing and every automated warm-up service works the same way. Your mailbox joins a pool of other users' mailboxes, and the tool then:
- Sends automated emails from your inbox to other pool members — usually nonsense threads or templated filler, often tagged with a hidden identifier so pool members recognise each other.
- Generates fake engagement on your behalf: other pool mailboxes open your messages, mark them as important, star them, and send replies.
- Rescues mail from spam: if your warm-up email lands in another member's junk folder, the tool moves it to the inbox and marks it "not spam" — historically the strongest single signal you could send a spam filter.
- Ramps volume automatically, so your new domain appears to have a growing, healthy correspondence history before you send a single real cold email.
In other words: warm-up tools manufacture the engagement signals mailbox providers use to judge sender reputation. That's not an accusation — it's the product description. And from roughly 2019 to 2022 it worked well, because providers weighted those signals heavily and couldn't easily tell pool traffic from genuine conversation.

Why it's decaying: detection and diminishing returns
Three things changed.
Providers learned to spot pools. Pool traffic has a distinctive fingerprint: clusters of mailboxes exchanging low-content messages on rigid schedules, identical hidden tags in message bodies, and engagement no human produces (instant opens, formulaic replies, systematic not-spam rescues). A few thousand mailboxes that all talk to each other in circles is exactly the pattern machine learning is good at finding. The consistent report from deliverability practitioners over 2024–2026 is that pool-generated engagement is increasingly discounted rather than rewarded — the emails still flow, but the reputation credit has shrunk.
Google cut off the easy route. In early 2023, Google told developers using the Gmail API that email-warming features violated its API policies and had to be disabled — with a hard deadline in February 2023 — or their API access would be revoked. Several warm-up services shut down; most of the survivors switched from the Gmail API to plain IMAP/SMTP connections, which sidesteps the API rule but not the underlying policy problem (more on that below).
The baseline moved. Since early 2024, Google and Yahoo's bulk-sender requirements have made SPF, DKIM, DMARC and a sub-0.3% spam-complaint rate table stakes. When authentication and complaint rate dominate the reputation calculation, faked opens matter less than they did in the era when engagement was the main lever. None of this means warm-up does nothing. A new domain with some traffic history still looks less suspicious than one that goes from zero to 200 cold emails on day one. But the effect size is smaller every year, and it now comes bundled with a policy risk that didn't exist before.
What Google's rules actually say
This is the most misquoted part of the debate, so here's the precise picture:
- The Google Workspace Acceptable Use Policy doesn't mention "warm-up" by name. What it prohibits is using the services to generate or facilitate unsolicited mass email, and to "evade filtering capabilities". A tool whose core function is teaching Gmail's spam filter that your mail is wanted — using manufactured engagement — sits squarely inside that second clause, which is exactly the reading Google applied when it acted against warm-up features.
- The Gmail API enforcement (February 2023) is the concrete precedent: Google formally notified developers that warming features breached API policy and revoked access from tools that didn't remove them. That's not a rumour or a blog theory — the notices were published by email-industry observers at the time.
- Enforcement against senders has tightened since. Google's compliance push from late 2024 onwards added stricter checks and more SMTP-level rejection of non-compliant bulk traffic, and practitioners have reported Workspace account suspensions where automated tooling and artificial sending patterns were involved.
The honest summary: warm-up isn't banned in a single sentence you can screenshot, but Google has policy language that covers it, a track record of enforcing that language against warm-up tools directly, and the ability to suspend Workspace accounts that use them. Anyone claiming it's unambiguously "allowed" or unambiguously "instant ban" is overclaiming.

Plenty of major sequencers still bundle warm-up — commercially, nobody wants to be first to drop a popular feature. That's why "everyone does it" feels like a safe harbour. It isn't one. Here's the trade as it stands:

What to do instead: warm-up without the fakery
The legitimate version of warm-up is just gradual real sending to people who actually engage. It's slower to describe as a feature, but it builds reputation that doesn't evaporate when a detection model updates.

2. Ramp volume like a human. Start around 10–20 emails a day per mailbox and increase by 5–10 a day, holding or stepping back if bounces or complaints tick up. A new domain needs 3–4 weeks before it should carry meaningful volume. 3. Verify every address before you send. Bounces are the fastest way to burn a young domain — each one tells the receiving provider your list is scraped or stale. 4. Send at a human pace, in human windows. Staggered sends with natural gaps during business hours, not a blast of 50 identical messages at 09:00:00. Consistency day to day matters more than any single day's volume.
5. Let engagement set the pace. Replies are the strongest positive signal a mailbox provider sees. When a short warm-up period is still pragmatic
Balance cuts both ways, so here's the honest concession. If you're spinning up a secondary sending domain (not your main company domain), a short warm-up period — two to three weeks, low volume, before real outreach begins — is still a common, pragmatic choice, and the incremental risk on a domain you can afford to lose is small. Some teams do it manually instead: genuine emails to colleagues and friendly contacts who reply, newsletter signups, normal correspondence. The manual version carries no policy risk and produces the same "this domain has a life" signal.
What you shouldn't do: run automated warm-up on your primary Google Workspace tenant, treat it as a substitute for verification and authentication, or leave it running forever as a crutch. If your real sending can't sustain your reputation on its own, the problem is the list or the message, not the ramp.
